Job Summary
This role is responsible for managing project intake, coordinating production workflows, conducting quality control reviews, maintaining AI tool administration, and ensuring accurate reporting and documentation. The coordinator will work closely with brand teams, production teams, and internal stakeholders to ensure projects are delivered on time, meet quality standards, and align with operational requirements. The role also supports internal AI training material management and production logistics, contributing to the continuous improvement of processes and operational efficiency.
Job Responsibilities
1. Scope Management & Request Intake
- Receive project scopes from brand teams and verify that all required information is complete before handing off to the production team.
- Maintain a tracking sheet to monitor all requests, including brand, deadline, status, and deliverables.
- Send deadline reminders and follow up with brand teams when additional information is needed.
2. Production workflow coordination
- Monitor the progress of each project and proactively flag any risks that may impact delivery timelines.
3. Review & QC output
- Perform QC checks on videos and iTVC outputs using a predefined checklist before submitting them for manager approval (e.g., format, naming conventions, adherence to brief).
- Manage file storage and version control, including file naming standards and folder structure organization.
4. Manage tool & license
- Track all AI tools in use, including license expiration dates and user access permissions.
- Prepare purchase requests (PRs) for new AI tools when required.
- Support onboarding of new team members into the AI tool ecosystem and workflow.
5. Reporting & documentation
- Prepare monthly reports detailing team members' activities and time allocation to help measure and improve operational efficiency.

6. Internal AI Agent Training Materials Management
- Collect, organize, and standardize training materials for internal AI agents.
- Categorize and prepare files by brand before uploading them into the system.
- Track collection progress against checklists to ensure all required data is available according to the AI Production Manager’s requirements.
- Collaborate with brand teams to gather materials such as brand guidelines, tone of voice documents, visual references, sample scripts, historical footage, and other relevant assets.
7. Shooting & production support
- Coordinate logistics for live-action shoots when required, including studio or location booking, talent coordination, props sourcing, and equipment arrangements.
